Capital Asset | Building and Room Lookup

The KFS Building and Room fields identify the UC Davis building (owned or leased) and room number where a capital asset is located.   

When completing a KFS Requisition document citing Capital Equipment (at or above $5000), or updating an Asset screen, you will need to complete the Building and Room fields.  You will also see the Building and Room fields on the Asset Fabrication, Asset Global (Add) document, Asset Location Global, and Asset Transfer Global documents.


Where are the Building and Room Fields Located?

On the Requisition document, these fields are in the Capital Asset tab, in the Location section.  The Capital Asset tab can ONLY be accessed and completed if you are purchasing items that meet the equipment threshold of $5K:

On the Asset screen (and Asset FabricationAsset Global (Add) document, Asset Location Global, and Asset Transfer Global), these fields are in the Asset Location tab, in the On Campus section:

Using the Building and Room Fields

Click on the lookup icon next to the Building field to access the Building Lookup screen.  The easiest way to search for the Building Code is by entering part of the building name, along with the * wildcard before and after the building name.  If you are unsure of the building name, you can use another one of the search fields, such as the street address.  Be sure to use the * wildcard before and after any searches you perform.  When you locate the Building Code you want, click on the Return Value link to return the code to your Requisition document or CAMS document:

Once you've located the Building Code and returned it to your document , click on the lookup icon icon next to the Room field to access the Room Lookup.  The Building that you previously returned to your document will default.  If you want to see ALL rooms for that building, click on the Search button, and then click on the Return Value link to return the desired room to your document.   Or, enter the desired room number in the Building Room Number field, and click the Search button.

NOTE:  Most Building Room Numbers are four-digits long and include leading zeroes.  For example, a Building Room Number 5 is entered in the system as 0005In other words, if you enter 5 in the Building Room Number field, you won't get results, but if you enter the room as *5* you will get results.


What About Equipment Not Located in a UC Davis Building/Room?

There will be situations where an asset will be located in a building not owned/leased by UC Davis.   In these cases:

  • On the Requisition, click the Off Campus button next to the Building field and manually enter the address where the asset is located, in the Location section of the Capital Asset tab.

  • On the Asset screen, enter E001 as the Building and E001 as the Room and manually enter the address where the asset is located in the Off Campus section of the Asset Location tab.
